This position is responsible for providing a full range of receptionist, secretarial and administrative functions in support of branch departments. The individual in this position primarily resides at their desk area. Responsibilities and duties are varied and may change with the influx of business. This position is vital to the success of the Branch.
Key responsibilities for this WILLISTON -based ADMINISTRATIVE ASSISTANT :
Provide support to General Manager and Service Supervisor by performing branch-level accounting duties including preparing daily bank deposits, tracking and coding accounts payables, maintain petty cash, BMS data entry support, and back-up QuickService process support.
Perform general office and clerical support including answering and routing calls, monitor and restocking branch consumables and supplies, filling and weekly meeting minutes.
Provide facilities support as point of contact for HSE manager and outside vendors.
Provide Service Center administration support.
Parts and Service Invoice Coding
Balancing Cash and Petty Cash Box/ Bank deposits
Invoice Reconciliation / Cash Payments Spreadsheet
Credit Card Batching and Prep Spreadsheet for Finance
Process Incoming Checks for Service/Parts and matchup
Operation of mail-room including mailing of all outgoing invoices and monthly statements
Phone Support for Parts and Service department(s)
Filing (work orders, invoices, misc. paperwork, etc.)
Daily Reports and NPS Report
Travel Arrangements for techs/mgmt.
Special Projects (Assembly of Safety kits, order food for safety meetings, etc.)
Misc. (gas receipts, shoe reimbursement, etc.)
Increased day to day admin support of Operations Manager
Create and submit weekly timesheet to HR for Payroll
Technician Training Tracking, Identifying and organizing needs

Experience, Education, Licenses, and Certifications :
1-3 years of Administrative experience
Ability to provide excellent customer support
Excellent written and verbal communication skills
High level of organization
Ability to prioritize your work
Multi-tasking in a fast-paced work environment
Support multiple people at multiple locations
Self-directed / Work independently and as part of a team
Adept at learning new processes and internal software proficiently
