About the position:

This position is responsible for providing a full range of receptionist, secretarial and administrative functions in support of branch departments. The individual in this position primarily resides at their desk area. Responsibilities and duties are varied and may change with the influx of business. This position is vital to the success of the Branch. As primary greeter to our customer base, it is necessary to adhere to CMSP’s operating values.

  • Performs various payroll functions, including, but not limited to reviewing and entering hourly payroll adjustments as needed, entering field service time on a daily basis and provides closure of payroll each Monday morning by 9:00am.

  • Responsible for maintaining the main switchboard. This consists of answering all incoming calls and transferring them appropriately.

  • Provides excellent customer service to our callers, customers, vendors and employees.

  • Prints the monthly PM work orders, orders PM parts (oil, anti-freeze, etc…) and updates the PM records as necessary.

  • Enters coding for accounts payable. Generates and mails invoices on a daily basis. Makes copies of all checks and invoices for customer files. Mail original checks and invoices to the bank on a daily basis.

  • Distributes mail in the branch mailboxes along with maintaining incoming and outgoing faxes and distribution of these faxes.

  • Assists with petty cash, such as providing refunds to employees as needed.

  • Provides assistance to the service department. Some other areas include issuing of Purchase Orders for outside purchases and work order processing.

  • Purchases the general office and maintenance supplies for the office and the shop areas. The individual in this position is also responsible for promotional and logo items.

  • Purchases all parts and supplies necessary to complete work orders. This includes shipping parts to customers.

  • Orders and expedites parts necessary to complete new generator installations (batteries, chargers, etc…).

  • Submits warranty work orders for payment. This includes Onan and Cummins Natural Gas Generators as well as Onan and Asco Automatic Transfer Switches.

  • Distributes and assists new hires with their new hire paperwork. Coordinates with H.R. to get new hires set up in BMS and ADP. Provides training on how to clock in and out within our automated BMS time keeping system.

  • Generates general correspondence for the management team as required. Including typing quotes and service agreements along with mailings to customers.

  • Assists with the general set-up of new customers, including credit checks as requested by the Branch Manager.

  • Assists in maintaining the general safety of the branch by providing assistance in the following areas; being part of the safety committee, assists with investigating all accidents, assists with worker’s compensation claims and filing, coordinating employee safety training.

  • Completes month end branch closing in an efficient and timely manner.

  • Performs other administrative duties as required to operate the branch and obtain its objectives.

Qualifications

  • High school diploma or equivalent required. Several years of general office responsibilities is desired.

  • Knowledge and experience of windows based e-mail, Word and Excel. Ability to assist branch personnel with these softwares as needed.

  • Typing speed of 50 wpm.

  • Pleasant demeanor and excellent customer service skills when greeting visitors and dealing with telephone callers is a must.

  • Ability to operate basic office equipment (i.e., telephone system, printer, fax, copier, microfisch reader, etc…).

  • Ability to train and trouble-shoot on telephone and software systems.

  • Must have extensive knowledge of Cummins engines and sub-assemblies.
