The Project Coordinator may be assigned one (1) to six (6) Power Generation outside salespeople
and is responsible for managing the salesperson’s project once it becomes a firm order. The
project coordinator may be accountable for managing as few as twenty to as many as hundred
and twenty projects. In addition, they also provide front line support to customers and vendors by
phone, e-mail and face to face; therefore, this position requires a strong customer service focus.
This role provides administrative support in the areas of Power Generation Projects and includes
project coordination, purchasing, sales, and service.
Assume the ownership of a project once it becomes an order. Gather all project
information from the sales representative: Electronic Project File, Salesperson Quote,
Vendor Quotations, Vendor Drawings, Customer Purchase Orders, Credit and Tax
Maintain close contact with sales representatives, internal resources, outside vendors,
and customers. Act as a single point of communication to assure all are aware of project
Order and then release equipment and materials and manage the logistics of same.
Collaborate with the factory, internal contacts, customers, and vendors to assure on time
delivery of equipment.
Create and maintain workorders, purchase orders and generate customer invoices in a
timely manner utilizing the Business Management System.
Review vendor invoices for accuracy and submit to accounting department for payment.
Monitor and maintain project costs from the opening to the closing of each project.
Close workorders and projects in a timely manner.
Prepare new orders and provide support to customers during the ordering process.
Provide accurate Sales forecast on a monthly basis.
Schedule equipment deliveries, track orders and coordinate shipment schedules. Obtain
all documentation required for revenue recognition.
Collaborate with Service Department for scheduling of on-site equipment start up and
provide documentation to Service Department and Planned Equipment Maintenance
Prepare and implement documentation to customers to show completion of the Project.
Other duties, as assigned.

High School Diploma or equivalent required.
Associates degree or equivalent from two-year College or trade school plus five years
secretarial/administrative experience, or equivalent combination of education and
Experience in manufacturing/service, a plus.
Construction Industry experience, a plus.
Product experience within the PowerGeneration industry, a plus.
Skills and Abilities:
Customer Service focused. Ability to resolve customer concerns.

Work directly with internal and external customers.
Comfortable working with a computer, including BMS/Custom Reporting.
